Position Title

Personnel Assistant II

Custom Job Purpose

This position exists to perform specialized and responsible clerical and secretarial work, which may include supervisory responsibility in assisting in the administration of a phase of personnel administration for the School District.

Essential Functions of this Job

Performs duties as principal assistant within a phase of District personnel program. May be assigned to coordinate and supervise work of a specialized clerical or record keeping unit. Responsible for the effectiveness and performance of personnel within the unit. Supervises the preparation and maintenance of personnel files and folders. Collects and prepares personnel data and other information for salary schedule formulation. Computes salaries. Assists with the input and update of computerized personnel information on Data Processing CICS system. Verifies contracts. Assists in preparing School Board agenda and annual recommendations. Counsels employees on retirement procedures. Processes applications for retirement. Assists with retirement workshops. Assists the supervisor in the overall administrative operations of the office. Interprets and advises employees on personnel policies. Interviews applicants. Assists principals and administrators with personnel selection. Assists in preparation of Department's budget. Audits salaries and up-dates card files. Assists in writing job descriptions. Researches and performs general secretarial and clerical duties. Interviews and tests applicants for non- instructional positions in District Office. Assists in Administration of Polk County School Board Employee's Sick Leave Bank.

Qualifications

Graduation from an accredited high school or completion of GED. Considerable experience in personnel or employee relations in a clerical or secretarial capacity; or an equivalent combination of training and experience.

Knowledge, Skills and Abilities

Considerable knowledge of the School District's personnel system and administration. Considerable knowledge of modern office practices and procedures. Ability to use office machines. Considerable knowledge of the personnel unit to which assigned. Ability to prepare and maintain complex records and reports. Ability to express oneself effectively, orally and in writing. Ability to establish and maintain good relationships with employees and the public. Ability to supervise subordinate employees and evaluate their work. Bilingual/biliterate preferred.

Work Context

Requires sitting and some standing, walking and moving about to coordinate work. Requires face-to-face discussions and contact with individuals and/or teams. Requires the use of alternative communication systems, such as electronic mail, telephones and computers. Requires coordination of work tasks to establish priorities, set goals and meet deadlines. Requires work with both internal and external contacts, and with the public.

Physical Environment

Requires working indoors in environmentally controlled conditions. Requires sitting for the majority of the day, and the ability to lift, carry, move and/or position objects infrequently weighing up to 20 pounds.
